Fractional Nonprofit Financial Consultant (Grant Administration & Accounting)

We are a small non-profit, with international operations, seeking an experienced, independent Fractional Financial Consultant to manage our operational accounting, fund accounting structure, and post-award grant financial administration. As a lean organization, we need a solo professional who can manage our books in QuickBooks Online, ensure strict compliance with funder restrictions, and prepare timely financial reports for our Board and grantors.

This is a remote, fractional contract position ideal for an independent consultant with expertise in nonprofit accounting standards. The role involves a relatively light monthly workload, about 5 hours a month, reflecting the our currently low transaction volume, with some variation during grant reporting and other key financial deadlines.

Key Responsibilities

  • Fund Accounting & QuickBooks Management: Maintain the general ledger in QuickBooks Online using a proper nonprofit structure to track restricted vs. unrestricted funds.
  • Grant Financial Administration: Monitor active grant budgets, track allowable expenditures, and prepare financial reports, drawdowns, and reimbursement requests for private, corporate, and public funders.
  • Expense Allocation: Oversee the accurate allocation of payroll, benefits, and shared indirect costs across programs and specific grant tracking codes.
  • Monthly Financial Reporting: Reconcile accounts and generate monthly financial packages, including the Statement of Financial Position, Statement of Activities, and Statement of Functional Expenses (Program vs. Admin vs. Fundraising).
  • Audit & Year-End Prep: Maintain pristine digital grant documentation files and assist with tax filings (Form 990) and annual audit preparation.

Qualifications

  • Nonprofit Accounting Expertise: Minimum of 5 years of experience specifically in nonprofit fund accounting. (Commercial-only accounting experience will not be considered).
  • QuickBooks Mastery: Advanced proficiency in QuickBooks Online, specifically utilizing Classes and Customer/Projects to track grant restrictions.
  • Grant Compliance Knowledge: Demonstrated experience navigating grant reporting structures.
