Part-Time Flight Coordinator/Dispatch

About the position

The Part-Time Flight Coordinator/Dispatch Support role will assist Aery Aviation’s flight operations and charter coordination team during high-volume operational periods. This position supports day-to-day dispatch activities, flight following, reporting, and administrative operational tasks while helping maintain operational efficiency and exceptional customer service. The ideal candidate is detail-oriented, organized, proactive, and is capable of thriving in a fast-paced aviation environment. This is a part-time position averaging approximately 20 hours per week, with scheduling flexibility based on operational needs.

Responsibilities

  • Assist the dispatch and charter coordination team with inbound customer and passenger communications during peak operational periods.
  • Provide professional and timely communication to clients, crews, and vendors while maintaining Aery Aviation’s commitment to exceptional service.
  • Support dispatchers with follow-up communications, trip confirmations, document organization, and operational coordination tasks.
  • Assist with active flight monitoring, status tracking, and operational updates to ensure smooth trip execution.
  • Help coordinate flight logistics including fuel requests, hotel accommodations, catering, permits, and ground handling arrangements as directed by the operations team.
  • Assist with operational reporting, trip reconciliation, record keeping, and administrative backlog tasks to help maintain organized and compliant operations.
  • Support dispatch operations in accordance with FAR 135 regulations and Aery Aviation SOPs under the direction of the OCC leadership team.
  • Provide additional dispatch support coverage during busy operational periods, schedule disruptions, weather events, and increased trip activity.
  • Assist with updating and maintaining operational systems including FOS/NT, scheduling platforms, and internal reporting tools.
  • Support the primary dispatch team with general operational tasks, coordination efforts, and office support responsibilities as needed.
  • Coordinate with vendors for trip support services including fuel, hotels, catering, transportation, and ground handling.
  • Help organize vendor invoices, receipts, and operational records for management review and processing.
  • Maintain a positive and professional attitude while supporting internal departments, flight crews, and external partners.
  • Contribute to a collaborative operations environment focused on efficiency, safety, and customer satisfaction.

Requirements

  • Previous dispatch, EMS, aviation, or operations experience preferred.
  • Strong organizational and communication skills.
  • Ability to multi-task in a fast-paced operational environment.
  • Flexible availability to assist during peak operational periods, including occasional evenings, weekends, or holidays as needed.
  • Reliable transportation.
  • Ability to work from the corporate flight operations office and remotely when operationally necessary.

Nice-to-haves

  • Experience with FOS/NT or relevant scheduling and dispatching software preferred.
  • Aviation dispatch license or pilot’s license preferred but not required.
  • Knowledge of FARs related to Part 91 or Part 135 operations preferred.
