THE ROLE: OPERATIONS SPECIALIST

We seek a detail-oriented, process-driven Operations Specialist to optimize and oversee internal and client-facing operational workflows. This role is ideal for someone who enjoys wearing many hats and thrives in fast-moving startup environments. You’ll work cross-functionally with our accounting and data teams, implement automation and AI tools, and help us scale efficiently.

This is a remote contract role with adjustable hours (20–40 hours/week) based on your availability. It’s particularly suited to professionals seeking flexible work schedules, such as caregivers or experienced operators looking for autonomy and impact.

KEY RESPONSIBILITIES

Client Operations

  • Lead client onboarding and offboarding.
  • Coordinate workflows across accounting, data, and FP&A teams.
  • Track client deliverables and ensure service excellence across engagements.
  • Own parts of client deliverables, such as the order-to-cash process.

Internal Operations

  • Build, document, and improve internal processes with Google Docs and Sheets.
  • Drive the implementation of automation and AI-based systems to improve efficiency.
  • Collaborate with leadership on resource planning, team assignments, and capacity tracking.

Scalability & Strategy

  • Identify bottlenecks and introduce scalable solutions.
  • Build internal playbooks and enforce operational best practices.
  • Monitor performance metrics and support reporting to Matcha leadership.

Skills & Experience

  • 5+ years in operations, project management, or business process roles in tech startups or professional services.
  • Experience coordinating across functions like accounting, finance, and data.
  • Comfort with a broad range of tech tools, including Google Workspace, Slack, Ramp, Gusto, and 1Password.
  • Experience with AI tools like ChatGPT.
  • Excellent communication, time management, and organizational skills.

Qualifications

  • Bachelor’s degree in Business, Operations, or related field (or equivalent experience).
  • Based in the USA, ideally in the Pacific time zone.
  • Experience with software-based startups is required. We focus on digital tech companies (e.g., SaaS, AI, apps, platforms)—not hardware or biotech startups.
