Executive Program Operations Administrator / Contract / Remote
<p>Our client, a leading financial software company with amazing culture, is hiring for a contract Program Administrator to join their customer engagement team. This is a fully remote position working PST hours.</p><p><br></p><p>In this role <strong><u>you'll become the operational backbone of a high-visibility program</u></strong> that connects executives, customers, and cross-functional teams, keeping every schedule, artifact, and data point running smoothly so leadership can focus on strategy instead of logistics. This isn't an entry-level support role; it's built for someone who has operated inside a fast-moving enterprise environment, knows how to manage up to executives, and builds process instead of waiting for it.</p><p><br></p><p>This exciting opportunity begins as a W2 contract position, working fully remote with standard core-hours to support multi-time zone scheduling coordination. The role reports directly into program leadership and offers exposure to executive-level stakeholders and cross-industry customer relationships from day one.</p><p><br></p><p><strong><u>Contract Duration: </u></strong>12 Months to Start, Likely to Extend Based on Performance</p><p><br></p><p><strong>Responsibilities</strong></p><ul><li>Own the day-to-day operations of the program, keeping customer engagements, internal workflows, and deliverables accurate and on schedule</li><li>Manage the full lifecycle of program artifacts, including customer profiles, lookbooks, agendas, and meeting decks, building scalable systems as the program grows</li><li>Prepare briefing materials for executive-facing meetings, anticipating what leaders need and packaging it so it's ready to use without back-and-forth</li><li>Coordinate complex, multi-party, multi-time zone calendars across customers, executives, and internal stakeholders, prioritizing and pushing back when conflicts arise</li><li>Maintain the CRM and customer status tracking system, catching data quality issues before they become a problem for someone else</li><li>Track outcomes across the customer engagement lifecycle and maintain documentation for a seamless internal and external experience</li><li>Support recurring program reporting, metrics, and dashboards that give leadership visibility into program health</li><li>Identify opportunities to streamline workflows and improve operational efficiency through automation, documentation, and best practices</li></ul><p><br></p><p><strong>Skills & Experience</strong></p><ul><li>Bachelor's degree in Business, Finance, Marketing, or a related field</li><li>10+ years of experience in program coordination, executive support, or CRM/operations within an enterprise tech environment</li><li>Fluent in CRM platforms and quick to pick up new tools - Salesforce experience is a huge plus</li><li>Strong grasp of how enterprise organizations operate, including pace, politics, and the difference between urgent and important</li><li>Self-starter who builds process proactively rather than waiting for instructions</li><li>Detail-oriented with a strong ownership mentality, able to self-manage task lists, flag blockers, and close loops independently</li><li>Comfortable working directly with executives and external customers who are themselves executives</li><li>Excellent written and verbal communication skills</li><li>Proven calendar and scheduling management across time zones and competing stakeholder needs</li><li>Sound judgment for triaging and escalating issues appropriately</li><li>Experience running or supporting a recurring reporting or metrics cycle with minimal oversight</li><li>Strong knowledge/experience with Google Workspace (Drive, Docs, Sheets) and Slack since these will be used daily - knowing how to automate workflows in Slack and other tools would be a huge benefit</li><li>Working knowledge of AI tools, including auditing and cleaning AI-generated content, is a huge plus since this group uses AI tools to transcribe recordings and automate some documentation</li><li>PMP certification is a bonus but not required</li></ul><p><br></p><p><strong>You will receive the following benefits:</strong></p><ul><li>Medical Insurance - Four medical plans to choose from for you and your family</li><li>Dental & Orthodontia Benefits</li><li>Vision Benefits</li><li>Health Savings Account (HSA)</li><li>Health and Dependent Care Flexible Spending Accounts</li><li>Voluntary Life Insurance</li><li>Long-Term & Short-Term Disability Insurance</li><li>Hospital Indemnity Insurance</li><li>Paid Sick Time Leave</li><li>Legal and Identity Protection Plans</li><li>Pre-tax Commuter Benefit</li><li>529 College Saver Plan</li></ul><p><br></p><p>Motion Recruitment Partners is an Equal Opportunity Employer, including disability/vets.
