Data Entry Specialist Associate (Remote)

Position Overview

We are seeking a detail-oriented and dependable Data Entry Specialist Associate to join our remote team. This entry-level position supports daily operations by entering, updating, reviewing, and maintaining information across spreadsheets, databases, and internal systems.

The ideal candidate is organized, accurate, comfortable using computers, and able to complete structured assignments independently while meeting established deadlines.

Previous professional experience is not required. Training and ongoing guidance will be provided. Recent graduates, career changers, individuals returning to the workforce, and candidates seeking their first remote position are encouraged to apply.

Key Responsibilities

Data Entry &

  • Processing

  • Enter information into databases, spreadsheets, and internal systems.
  • Transfer data from approved forms, files, and source documents.
  • Update existing records with current information.
  • Process routine data-entry assignments accurately.
  • Follow established formatting and processing standards.
  • Review completed entries before submission.
  • Maintain consistent and organized records.
  • Complete assigned work within established timelines.

Data Verification &
  • Quality

  • Compare entered information with source documents.
  • Review records for accuracy, completeness, and consistency.
  • Identify missing, duplicate, outdated, or incorrect information.
  • Make routine corrections when authorized.
  • Flag unresolved discrepancies for further review.
  • Perform basic quality-control checks.
  • Help maintain reliable and accurate business data.

Records &
  • Document Support

  • Upload, label, categorize, and organize digital documents.
  • Maintain electronic records and shared files.
  • Follow established file-naming and storage procedures.
  • Review documents for completeness.
  • Maintain basic record indexes and processing logs.
  • Retrieve authorized records when requested.
  • Protect confidential and sensitive information.

Administrative Support

  • Prepare and update spreadsheets, forms, lists, and trackers.
  • Maintain routine administrative logs.
  • Process basic internal requests.
  • Organize shared digital folders and resources.
  • Route documents and information to appropriate team members.
  • Assist with general clerical and administrative assignments.
  • Support additional projects as needed.

Workflow &
  • Task Tracking

  • Track assigned tasks and processing deadlines.
  • Update workflow trackers.
  • Monitor pending and completed assignments.
  • Maintain activity and completion logs.
  • Follow up on assigned action items.
  • Compile approved information for basic reports.
  • Provide status updates when requested.

Remote Team Communication

  • Communicate professionally through email, chat, and virtual meetings.
  • Coordinate information with team members.
  • Respond to routine internal inquiries.
  • Ask for clarification when instructions are incomplete.
  • Report data or documentation issues promptly.
  • Participate in virtual training and team meetings.
  • Maintain dependable communication during scheduled work hours.

Required Qualifications

  • High school diploma, GED, or equivalent.

  • Familiarity with email, spreadsheets, web browsers, and digital documents.
